Executive Administrator

Role Purpose

To support the Managing Director, Finance Director and Board to be as efficient and effective as possible through provision of a professional, comprehensive secretarial and support service.

To provide support to the wider business with corporate administration

Duties & Responsibilities of the Executive Assistant

  • Provide full executive administrative support to the MD, Finance Director and Board.
  • Oversee diary management and meeting coordination/support for the MD/FD.
  • Prioritisation of emails, coordination, and responses where necessary.
  • Ensure members of the SLT receive communication and information in a timely manner.
  • Manage agendas and actions for SLT meetings & members.
  • Deal with confidential and sensitive matters on behalf of the Directors.
  • Arrange travel and meeting plans (largely UK based).
  • Act as the primary point of contact for internal and external relationships – often dealing with confidential or sensitive matters on behalf of the MD/FD.
  • Supporting the MD and wider team to coordinate internal & external events.
  • Attendance at external events as required.
  • Working closely with the MD/FD to prepare for and follow up on meetings, actions and preparing appropriate presentations, briefings, and timetables.
  • Liaison with NEDs and other board members to enable them to fulfil their roles efficiently and effectively.
  • Coordination of internal meetings, (e.g. Board and Executive Team meetings). To include production of agendas and attending to take minutes and timely follow-up of actions.
  • Production of monthly board packs.
  • Transcription & summarising of board minutes when required.
  • General corporate office administration & facilities management

Experience

  • Previous EA/PA experience
  • Experience of dealing with directors/business owners
  • At least 3 years administrative experience

Skills

  • Excellent time management and very strong attention to detail with a proven ability to meet deadlines.
  • Strong and effective team player.
  • Confidentiality and discretion, displaying a professional and flexible attitude and doing what is necessary to get the job done well.
  • Ability to work on own initiative and within a small and dynamic team, including exercising good judgement.
  • Calm under pressure and the ability to work independently and be self-sufficient.
  • Excellent levels of IT skills including full MS office suite.
  • Excellent administration and secretarial skills.

Qualifications

  • 5+ GCSEs grades 5-9 or equivalent, including Maths and English Language + A level or equivalent qualifications

SALARY EXPECTATIONS £30,000 per annum

ROLE BASE – Somerset Farm, Murrow

HOURS – Monday to Friday 25 hours per week
